A workspace is a self-contained environment. Screens, content, playlists, labels, and members all belong to one, and none of it is visible from another.
Isolation is the default and it is not adjustable. Knowing a workspace’s address is not enough to reach it; you have to be a member.
What that gets you
It is the only real access boundary in Screenly. A contractor working on one site cannot see screens at another. A regional team cannot touch head office displays. A hospital technician cannot reach another facility’s screens.
This matters because roles do not do this job. Every member of a workspace sees every screen, playlist, and piece of content in it, whatever their role. Roles decide who can change members and billing, not who can see which screens.
If some people must not see some screens, that is a separate workspace. There is no per-screen or per-playlist permission, and no role that provides one.
What it costs
Isolation cuts both ways, and the costs are worth knowing before you split things up.
Content does not move between workspaces. The same video in two workspaces is two uploads.
Labels mean nothing across the boundary. A reception label in one workspace has no relationship to a reception label in another.
There is no cross-workspace search. Finding a screen means knowing which workspace it is in and looking there.
A screen moved between workspaces loses its playlist assignments and arrives disabled. See Move a screen to another workspace.
Two deliberate exceptions exist: a shared playlist can cross the boundary in one direction, and linked workspaces share billing and a license pool while staying operationally separate.
How many you need
Most organizations want one. Splitting is a real cost and should answer a real question.
Split when different people must not see each other’s screens, when separate legal entities need separate billing, or when an agency runs screens for unrelated clients.
Do not split by content type, by campaign, or because a fleet feels large. Labels organize a fleet inside one workspace far better than workspaces do, and without any of the costs above.
